Reports to: QHSE Manager

Job Summary:
We are looking for a meticulous and experienced Document Controller to manage and control company documents within our Safety and QHSE functions. This role ensures that critical documentation complies with internal standards and external regulatory requirements. The Document Controller will be instrumental in maintaining an efficient documentation system that supports operational integrity and compliance.

Key Responsibilities:

  • Manage the receipt, classification, registration, tracking, and distribution of documents across departments.

  • Maintain accurate records of controlled documents, including revision histories and version control.

  • Ensure documentation meets compliance requirements with GACAR and relevant aviation regulations.

  • Organize and maintain digital and physical document filing systems for easy retrieval and security.

  • Coordinate with various departments to ensure documentation standards and templates are followed.

  • Monitor documentation workflows and assist in improving document control procedures.

  • Support internal and external audits by providing requested documentation in a timely manner.

  • Maintain confidentiality and secure handling of all sensitive documents.

  • Train and support staff in document control procedures and systems.

  • Track pending and overdue documentation and communicate regularly with stakeholders for timely resolution.

  • Ensure proper archiving and disposal of documents in accordance with retention policies.

  • Support the QHSE team in report generation, compliance checks, and document analysis.

Qualifications:

  • Bachelor’s degree or diploma in Business Administration, Information Management, or related field.

Experience and Skills:

  • Minimum 3 years of experience in document control, preferably in the aviation or aerospace sector.

  • Familiarity with aviation standards and regulatory frameworks (e.g., GACAR, EASA, FAA).

  • Proficiency in document management systems and Microsoft Office Suite.

  • Strong attention to detail and organizational skills.

  • Excellent written and verbal communication skills.

  • Ability to handle confidential and sensitive information with discretion.

  • Experience supporting audits and regulatory inspections is advantageous.
